EME Student Poster Contest Submission Form

Use this form to register and submit your poster file and the link to your poster talk video for the EME Student Poster Competition being held on Wednesday, October 29, 2025.

The deadline for submissions is 9AM on Monday, October 20.

Poster talks will be submitted as a video along with your poster file, not performed live on the day of the Poster Exhibition. Competition judging will be done using the videos/poster files prior to the live event. The poster exhibition will be a reception where we will display your printed posters and have you available to discuss your work with attendees. Contest winners will be announced at the reception.

Guidelines

• You must use an EME Poster Template layout for your poster. Download the PowerPoint template.
• Limit the Introduction/Abstract to 75-100 words. It should not dominate your poster.
• Proofread and edit your poster carefully.
• Use Zoom to record your poster talk. Share your screen of the poster file while you record the video of you speaking in the upper right-hand corner of the screen.
• Talks can be no longer than 5 minutes. Time yourself and practice before making your final recording.
• You must complete the video release form

Submitting Your Poster and Talk

• When you are happy with your talk video, copy the URL for the file from Zoom to share in the submission form, and make sure that your settings allow us to download the video:

1. Log in to Zoom: https://zoom.psu.edu/
2. Click on “Recordings and Transcripts” on the left-hand tool bar.
3. Go to the video you are submitting and click the “Share…” button on the right.
4. Use the "Who can view" dropdown to choose, "Everyone with the recording link"
5. Click on "Share Settings" at the bottom of the box
6. Make sure there is a checkmark next to “Viewers can download” and "Viewers can see transcript"
7. Click "Save"
8. Copy the "Shareable Link" for the recording and submit that URL on the submission form.

• Also before the submission deadline, please complete an EMS video release form online. Under “Event or Activity” write, “2025 EME Student Poster Competition.”
• Your poster and talk will be included in an online poster gallery on the EME website for judging.

Please upload a digital copy of your poster - please use the template files and upload a .PPT or .PDF version.

Photo Release:
Please complete the online photo release form before submitting your photo contest entry.
NOTE: You only need to submit ONE release form for the contest no matter how many photos you submit.
On the release, under “Event or Activity,” write, “EME Student Poster Contest.”

By submitting, I represent to The Pennsylvania State University (“University”) that all content contained in my recording and poster submission, including but not limited to any photographs or images within, were authored and/or created by me.  I represent that I have all necessary rights and permissions to submit my recording and poster for use, reproduction, derivation, public display, and public performance for the EME Student Poster Contest, and hereby grant the University a non-exclusive, royalty-free license to such rights.  I understand that I may be responsible for any claims or losses incurred by the University if my submission contains content to which I do not have the appropriate rights and permissions.
